How to Add a DRAFT or CONFIDENTIAL Watermark to a PDF

October 27, 2026 · 5 min read · By ConvertFusion Pro

A faint diagonal word across a page tells the reader how to treat the document at a glance. DRAFT says the content is not final, CONFIDENTIAL says it is not for sharing, SAMPLE and COPY prevent a preview being mistaken for the real thing. Adding one takes under a minute, but a few choices decide whether the watermark is helpful or just annoying. This guide covers those choices and the limits of what a watermark can do.

Choosing the wording

Short and plain works best. One or two words in capitals read instantly even when the text is faint: DRAFT, CONFIDENTIAL, SAMPLE, COPY, INTERNAL, NOT FOR DISTRIBUTION. Long phrases get shrunk to fit the page and become harder to read. If you need to identify the recipient, such as a name and a date, keep it brief, for example FOR J. SMITH 27 OCT.

The tool uses a standard built-in font, so the text should use basic Latin letters, digits and common punctuation. Characters from other writing systems, such as Arabic, Chinese or Devanagari, cannot be drawn with that font and the tool will tell you so instead of producing a broken file.

Applying the watermark

  1. Open the Watermark PDF tool and add the file.
  2. Type your text. The default is DRAFT.
  3. Set the size and opacity. A size of 64 and opacity of 0.2 give a clear but unobtrusive stamp on a typical page.
  4. Press Convert, download the result and look at every page.

The text is centred on each page and rotated diagonally, in a neutral grey so it works on white paper. Text that would otherwise run off the edge of the page is scaled down automatically. The processing runs in your browser, so the document does not leave your device.

Getting size and opacity right

  • Opacity 0.1 to 0.15: subtle, for documents people must read closely, such as contracts under review.
  • Opacity 0.2 to 0.3: clear, a good default for DRAFT stamps on text pages.
  • Above 0.4: starts to compete with the content and makes reading tiring; useful only for SAMPLE on pages you do not want used at all.
  • Size: bigger letters look more official but cover more text. Try 60 to 90 for a single word. For two words, smaller sizes keep it inside the sheet.

Always check pages with dense content, such as tables and diagrams, because a watermark that is fine on a text page can interfere with a chart.

What a watermark can do

A watermark is a visible label. It discourages casual misuse, makes it obvious that a document is a draft, and means a leaked copy carries your warning with it. It works best as a clear signal to honest readers.

What a watermark cannot do

It is not a security feature. The stamp is drawn on top of the page content as ordinary PDF text. Someone with a PDF editor can often remove or cover it, and anyone can retype the content. It also does not encrypt the file, stop printing or prevent copying. If a document is truly sensitive, control who receives it, use proper access controls or password protection in a trusted application, and treat the watermark as a reminder rather than a lock.

Also bear in mind that a watermark does not make a document legally binding or mark it as authentic. For official documents, follow whatever the issuing organisation requires.

Practical workflows

Review copies. Export your contract or report to PDF, add DRAFT, and send it to reviewers. When approved, share the clean version produced from the source document, not the watermarked one.

Previews for customers. If you sell documents, templates or reports, extract the first few pages with Extract PDF pages and watermark the preview as SAMPLE before publishing it.

Several sources. To watermark a package made from different files, merge them first, then apply the watermark once so every page matches.

Troubleshooting

The watermark is hard to see. Raise the opacity a little or increase the size. Remember that scanned pages with dark backgrounds hide light stamps.

It covers important text. Lower the opacity or shorten the wording so the letters take less space.

The tool refuses the text. It contains characters outside the supported set. Use basic Latin text.

The PDF cannot be opened. If it is password protected or damaged, save an unlocked copy in a PDF viewer you trust and try again.

Keep the clean original

Because the stamp becomes part of the page, you cannot cleanly undo it later. Keep the unmarked source file, name the watermarked copy clearly, for example contract-DRAFT.pdf, and you can always create a new version when the document changes.

Watermark or a text label?

If the goal is only to mark a version, a simple note in the document header, a date in the file name or a version number on the cover often does the job without touching every page. A watermark is the better choice when pages may be printed or forwarded individually, because the warning travels with each sheet. Choose the lightest option that fits the risk, and avoid stamping documents that readers need to study for long periods in a heavy, high-opacity style.
